Acceptable Use of Resources

Policy Statement

At The Late Risers’ Club, our information technology resources are crucial to achieving our mission. These resources are valuable assets that must be managed responsibly to ensure their integrity, confidentiality, and availability for research, education, outreach, and administrative purposes. Members of The Late Risers’ Club are granted access to these resources to support our mission.

All users of our information technology resources, whether affiliated with The Late Risers’ Club or not, are responsible for their appropriate use. By using these resources, users agree to adhere to all relevant Board of Regents policies, our administrative policies, and applicable federal, state, and local laws. This includes compliance with regulations regarding information security, data privacy, commercial use, and prohibitions against harassment, theft, copyright infringement, unlawful intrusion, and unethical conduct.

For those granting guest access to our IT resources, it is their responsibility to ensure that guests are aware of these acceptable use policies. The Late Risers’ Club accepts no liability for personal or unauthorized use of its resources.

Acceptable Use

Acceptable use of our IT resources includes:

  • Respecting the rights of other users.
  • Avoiding actions that could compromise the integrity and security of our IT resources.
  • Complying with all relevant licensing and legal requirements.

Users must:

  • Use only those IT resources they are authorized to access and only in the manner and extent permitted. Access does not automatically imply authorization.
  • Utilize only accounts, passwords, and authentication credentials that they have been authorized to use for their role at The Late Risers’ Club.
  • Protect their assigned accounts and credentials from unauthorized use.
  • Share data only as permitted by applicable policies and their role.
  • Adhere to security controls for all IT resources used for The Late Risers’ Club activities, whether owned by the organization or personally owned.
  • Follow licensing and contractual agreements related to IT resources.
  • Respect intellectual property rights, including licenses and copyrights.
  • Take responsibility for the content of their personal communications and understand they may be held liable for misuse.

Unacceptable Use

Unacceptable use includes:

  • Sharing authentication details or allowing others to access their accounts.
  • Attempting to bypass or assisting others in bypassing security controls.
  • Downloading or installing unauthorized software or applications that could disrupt service or do not serve a clear business or academic purpose.
  • Engaging in activities that disrupt users or services, including distributing viruses or malicious code.
  • Accessing IT resources without proper authorization.
  • Conducting unauthorized scans of IT resources.
  • Participating in activities that violate laws, policies, or ethical standards, including harassment, unauthorized communication, or excessive use of system resources unrelated to academic or job-related needs.

Privacy and Security Measures

Users must respect the privacy of others. Technical access to accounts does not imply authorization to view or use them.

Users play a key role in protecting their personal information. Faculty and staff are required to use all available security measures provided by The Late Risers’ Club, such as multi-factor authentication, and adhere to the security controls outlined in our policies. Failure to use these measures in good faith may result in The Late Risers’ Club not reimbursing any losses related to financial transactions or other assets.

Employees should be aware that records and communications related to The Late Risers’ Club’s business, whether on organizational or personal devices, may be subject to disclosure under the Minnesota Government Data Practices Act.

While The Late Risers’ Club takes reasonable steps to protect its IT resources, we cannot guarantee absolute security. Users should be aware that activities on our IT resources may be monitored and reviewed. We assign responsibility for protecting our resources to technical staff, data owners, and custodians. They handle account contents and personal communications as private unless required for system maintenance, legal compliance, or policy enforcement.

Enforcement

Users who violate our policies, laws, or regulations may face limitations or termination of their access, along with possible disciplinary or legal action. Alleged violations will be reviewed by the appropriate office or law enforcement agency.

The Late Risers’ Club reserves the right to temporarily restrict access to its IT resources if necessary to protect their integrity, security, or operational continuity, or to safeguard against liability.
